VOpilot (“VOpilot,” “we,” “us”) provides software that helps voiceover artists track jobs and auditions, send invoices, collect payment, and manage contacts. This policy explains what we collect, how we use it, and the choices you have. It applies to the VOpilot web application and marketing site.
Account information. Your name, email address, password (stored only as a salted hash by our authentication provider), and business profile details you choose to add.
Content you enter. The jobs, auditions, invoices, contacts, expenses, residuals, and notes you create — including details about your clients, agents, and end clients. You control this data and are responsible for having the right to store it.
Payment-related data. When you connect Stripe or PayPal to get paid, those providers handle your financial and bank details directly. We store identifiers and status (e.g. whether your account can accept charges) but never your full card or bank numbers.
Connected-inbox data. If you forward emails to VOpilot or connect an inbox, we process the message content to extract job, audition, and payment details. See “AI processing” below.
Usage and device data. Standard log and diagnostic data (IP address, browser type, pages visited, error reports) used to operate and secure the service.
To provide and maintain the service; to process invoices and payments you initiate; to send transactional email (such as invoices and reminders) and, where you opt in, product updates; to provide support; to detect, prevent, and address fraud, abuse, and security issues; and to comply with legal obligations.
Payments from your clients are processed by Stripe and/or PayPal directly into the account you connect. You are the merchant of record for those transactions; VOpilot is not a party to them and does not hold your funds. Your use of those providers is also governed by their own terms and privacy policies.
To turn a forwarded email into a draft job, audition, or payment record, the relevant message content is sent to our AI provider (Anthropic) for extraction. This content is processed to generate the result and is not used to train the provider’s models. You can avoid this entirely by not using the inbox features.
Your account is isolated from every other VOpilot customer at the database level — no other user can read your jobs, clients, invoices, or income, and the public pages you choose to publish never expose your private account data.
We do not sell your information, share it for advertising, or use it to build profiles about you. VOpilot personnel do not read or use your business content in the ordinary course of running the service; team access is limited to the narrow circumstances needed to operate it — such as resolving a support request you raise, investigating a security or fraud issue, or complying with the law — and is kept to the minimum necessary. We are not a party to your work and have no interest in your clients or rates beyond keeping your account running.
We do not sell your personal information. We share data only with service providers (“subprocessors”) that help us run VOpilot, under contracts that limit their use of it; when you direct us to (for example, emailing an invoice to your client); or when required by law or to protect rights and safety.
Subprocessors include: Supabase (database, authentication, storage), Vercel (hosting), Stripe and PayPal (payments), Resend (email delivery), Anthropic (email parsing), and Sentry (error monitoring).
We keep your data for as long as your account is active. You can delete individual records at any time. When you close your account, we delete or anonymize your data within a reasonable period, except where we must retain it to meet legal, accounting, or security obligations.
Tenant data is isolated at the database level using row-level security, sensitive tokens are encrypted at rest, and access to production systems is restricted. No method of transmission or storage is perfectly secure, but we work to protect your information using industry-standard measures.
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can exercise most of these directly in the app, or contact us at support@vopilot.co.
We use cookies and similar technologies that are necessary to sign you in and keep the app working, plus limited diagnostics. We do not use third-party advertising trackers.
VOpilot is intended for professional use by adults and is not directed to anyone under 16. We do not knowingly collect information from children.
We may update this policy from time to time. If we make material changes, we will update the date above and, where appropriate, notify you in the app or by email.
