The anatomy of a professional VO invoice

A professional voiceover invoice needs more than a name and a number: it states who's billing, a unique sequential invoice number, issue and due dates, line items that separate session from usage, the licensed terms in writing, and exactly how to pay. Most invoicing problems — slow payment, scope disputes, usage overruns — trace back to a field that wasn't on the invoice.
The fields that do the work
- Your business identity: name, email, and address — matching your W-9, so the client's books and your 1099-NEC agree at tax time.
- A unique, sequential invoice number: it's how their accounts-payable system files you, and gaps or duplicates cause real payment delays.
- Issue date AND due date: 'Net 30' means nothing without the date it counts from. Name the actual calendar date payment is due.
- Bill-to that names a person: invoices addressed to a company vanish; invoices addressed to the person who booked you get walked to accounting.
- The project reference: their PO number, campaign name, or job title — whatever string their system knows the work by.
Line items: separate the session from the usage
The single biggest upgrade to a VO invoice is splitting the session fee and the usage license into separate lines. A single 'VO services' lump sum invites a negotiation about hours. ':30 TV spot, session fee' plus 'Usage: regional broadcast TV, 1 year from first air' documents what was actually sold — and when the year is up, the invoice itself is the paper trail for the renewal conversation.
Write the usage line so it stands alone: media, market, term, and start date. If there's exclusivity, it's a third line with its own fee. Future-you, the client's new marketing manager, and if it ever comes to it, a mediator, will all read this invoice cold.
Make paying trivially easy
Every step between 'approved' and 'paid' costs you days. State accepted payment methods explicitly, and if you can take card or PayPal, put the link on the invoice itself. A payment link turns 'forward this to finance and wait' into a two-minute task the booker can do directly.
